What is an AI agent and what can it do for your business

An AI agent is a program with artificial intelligence that is given a goal and sees it through on its own: it reads the task, decides which steps to take, uses the tools it needs (e-mail, CRM, e-shop, spreadsheets) and hands you the result. Unlike an ordinary chatbot, it does not just answer, it acts.

How an AI agent works

At the core of an agent is a large language model (LLM), the same kind of technology behind ChatGPT, Claude or Gemini. The model understands natural language and can plan. It becomes an agent once we give it three more things:

  • Tools: access to the systems it can work with. For example reading and sending e-mails, searching the order database or creating tasks.
  • Knowledge: your company materials, such as price lists, terms and conditions, manuals or the history of communication with a customer.
  • Rules: what it may do on its own, what a human must approve and when it should hand the case over.

The agent then works in a loop: it reads the situation, decides on the next step, uses a tool, checks the result and continues until the task is done.

Practical examples in a company

Customer support

A customer writes “Where is my order?”. The agent finds the order in the e-shop, checks the shipment status with the carrier and replies with a tracking link. If it is a complaint, it opens a case and passes it to a colleague with a summary.

E-mail and document processing

The agent sorts incoming mail, extracts the supplier, amount and due date from PDF invoices, writes them into the accounting system and prepares them for approval.

Sales and enquiries

The agent enriches a website enquiry with company information, scores it, creates it in the CRM and sends the salesperson an alert with a draft reply.

Internal assistant

An employee asks “What is the procedure for a complaint about goods over €400?” and the agent answers according to your internal policy, including a link to the document.

What an AI agent cannot do (and what to watch out for)

  • It is not infallible. Language models can make mistakes. That is why we require human approval for important steps (payments, contracts, replies with legal impact).
  • It needs good materials. An agent is only as good as the information it has access to.
  • Security and GDPR. An agent should only have access where it really needs it. For sensitive data consider local AI, where data never leaves the company.

How to get started with an AI agent

  1. Pick one process that repeats, takes time and follows clear rules. Typically answering frequent questions or retyping data.
  2. Run a pilot for a few weeks and measure time saved and quality.
  3. Expand gradually to more processes and systems based on the results.

Summary

An AI agent is a “digital colleague” that takes over routine work: it answers, sorts, retypes and prepares documents. It saves companies hours every week and works non-stop. The key to success is starting with one well-chosen process, setting clear rules and measuring the results.
